Donating Materials to the Pratt Libraries

A guideline to assist potential donors, describing our policies and criteria, with access to forms and templates to help process your gifts.

Thank you for considering the Pratt Institute Libraries as a destination for your materials donation. 

The Pratt Institute Libraries appreciates offers of gift books and other materials that extend and complement existing collections.  However, due to the expense to process and store materials, the Libraries are unable to accept all donations. 

We accept

  • Special collection items (ephemera, photographs, artists’ books, posters, broadsides, zines, pop-up books, etc.)
  • Archival and published material relevant to the history of Pratt Institute
  • Unique and rare print materials

We do not accept

  • Textbooks
  • Popular fiction/trade hardcover and paperbacks
  • Magazines and periodicals
  • Films, videos, music CD’s
  • Equipment and electronics
  • Titles the Libraries already own (exceptions may be made in special circumstances)
  • Materials in poor condition

Donation Process

Gifts are accepted with the understanding that they become the property of Pratt Institute and the Libraries may make any and all necessary decisions as to their retention, location, cataloging, and other considerations relating to their use and disposition.  Once received, donated materials cannot be returned to the donor.

Donated materials that are not added to the Libraries’ collections may be distributed or relocated anywhere on the Institute’s campuses or exchanged with any other libraries and cultural institutions, sold, or disposed of through charitable organizations, or other means. 

We regret we are not able to accept drop-offs of donated materials without prior arrangement.  The Libraries are unable to arrange for shipment or retrieval of donated materials.

Prospective donors of larger collections are encouraged to provide an inventory including titles and general condition of the materials. 

If a donation is accepted, donors may be requested to provide a signed letter expressing their desire to give their materials to the Libraries. Donors are encouraged to supply the following information in their letter.

  • Donor name and contact information
  • The type of material (i.e., books, photographs, etc.)
  • A brief description of each item (in case of books, author, title, publisher and date of publication)

In-kind gifts to the Pratt Institute Libraries may provide you with federal and state income tax benefits.  In accordance with IRS regulations, the Library cannot appraise any donations, however a letter of acknowledgement for volumes donated to the library will be sent to each donor if desired. This letter may be used for income tax purposes. Donors wishing to claim a tax deduction may want to consult with their income tax preparer or the U.S. Internal Revenue Service for the proper procedure.
